Description
The Operations Assistant will support the Chief Operating Officer (COO) in their role. This position will take on supplemental responsibilities and handle other day-to-day items while attending meetings with the COO to record information and follow-up on strategic planning and goals across the Operations Division.
Essential Functions of the Job:
- Assist the Chief Operating Officer with daily operations
- Distribute correspondences and other material to division office and department staff from Executive Team
- Communicate with division managers and department heads when directed by COO or CEO to assist with operational duties
- Participate in weekly, monthly, and quarterly office meetings to assist in the notating and follow-up on quarterly and annual office goals
- Maintain and update relevant files and documents such as company organizational chart
- Aid in and ensure the timely completion of creative projects
- Perform organizational and clerical support tasks, including but not limited to, scheduling meetings, creating meeting agendas and notating minutes, and drafting and proofreading correspondences
- Keep COO and other executives, as necessary, organized with logistics, meetings, and emails throughout the day
- Complete tasks and special projects as directed by the Executive Team
- Work in an office environment on a full-time basis unless otherwise specified by the Executive Team
Requirements:
- Experience as an office assistant or in a related field preferred
- Basic knowledge and understanding of business operational terminology preferred
- Ability to work well under limited supervision
- General knowledge and capability to operate office equipment
- Warm personality with excellent oral and written communication skills
- Meet or exceed all essential functions of the job, including but not limited to, work performance goals
Operations Assistant will report to:
- COO
Physical Demands:
- Ability to remain in a stationary position for the duration of the workday
- Ability to move about the office, bend and reach
- Ability to lift up to 25 pounds occasionally
Work Environment:
- Generally, works in an office environment but may occasionally be required to perform job duties outside of the typical office setting if specified by the Executive Team.
